Job Responsibilities

The main focus of this role is to ensure timely and accurate administration of HR processes/operations,  support employees and HR Business Partners, and to provide information regarding administrative questions related to contracts, time & absence management, employment administration, etc.


  • First level support to employees regarding HR administrative questions including time & absence management questions;
  • Issuing working contracts, contract amendments as well as other contractual documents based on input of HR Business Partners and/or Directors;
  • Ensuring that all necessary work permits are requested on time and liaises with the corresponding authorities;
  • Issuing employment confirmations and other certificates to employees;
  • Issuing interim and final reference letters to employees based on input of HR Business Partners/Directors and/or Line Managers;
  • Administering all employee data in the relevant HR systems and ensuring its accuracy and high standard quality;
  • Managing the scanning and filing of all relevant HR Documents in the Digital Dossier (E-Archiving) system;
  • Interfacing with HR Business Partners/Directors, payroll and other internal stakeholders;
  • Administering the time & absence management system and taking action in consultation with the employee and/or line manager;
  • Build and enhance relationships / networks across Idorsia at various levels;
  • Participate or lead in smaller projects across the HR Shared Services team;
  • Continuously focus on and support to implement Business Improvement efficiencies across the HR Shared Services team and help the team to reduce complexities in all related HR processes


Candidate’s Requirements

  • Commercial Apprenticeship (KV) and preferably a further education in Human Resources Administration/Management (e.g. “Sachbearbeiter/-in Personal”, “Eidg. Dipl. Personalfachmann/-frau” or equivalent)
  • Minimum 2 years of experience in HR Administration or several years of experience in another administrative area with completed further education in HR preferably in a multinational environment
  • Applied knowledge of Swiss Labor Law, social insurance and tax system and regulations
  • Computer and software usage literate
  • Strong customer service orientation
  • Proven effective communication skills
  • Effective team player
  • Detail oriented & exact, efficient working style
  • Ability to set priorities and manage several tasks at a time
  • Fluency in German & English (written & spoken)
