For our Global Procurement Organization we are seeking a motivated Procurement Specialist with a focus on operational buying activities. 

 

Role

 

The Procurement Specialist is responsible for the global execution of the indirect purchasing process (P2P) as an Operational Buyer and will collaborate closely with the business functions. The candidate will be part of a small team of procurement specialists and contribute to internal customer training, supplier relationship management tasks and process improvement activities.

 

Job Responsibilities

 

Execution and improvement of purchasing process

 

  • Validate and complete purchase requisitions and turn them into an order (PO)
  • Monitor and follow up on PO’s (e.g. late delivery, internal customer complaints)
  • Negotiate smaller business cases with domestic and international vendors
  • Monitor and improve the purchasing process pro-actively and search for improvements

 

Maintain and improve relationship with internal customers

 

  • Train internal customers on a regular basis (tools, processes etc.)      
  • In coordination with Head of Global Procurement provide internal customers with information and guidance
  • Run internal customer satisfaction surveys and actively work on improving the collaboration with our internal customers on a global basis

 
Support of tenders & supplier relationship management

 

  • Support Category Managers in the collection of business requirements
  • Support Category Managers in compilation of RFx documentation
  • Follow-up on suppliers’ questions
  • Follow-up on suppliers’ submissions
  • Support data consolidation and evaluation activities in collaboration with Category Managers
  • Continuously improve collaboration, processes and issue handling with suppliers
  • Keep supplier master data up-to-date in collaboration with Accounts Payable
  • Manage static e-catalogues and monitoring of correspondent KPIs

 

Travel management

 

  • Manage the Idorsia hotel, flight, train and rental car programs and act as the primary liaison with travel partners
  • Evaluate services, negotiate agreements, and serve as the key contact with all primary travel vendors
  • Training of travel arrangers and travelers
  • Communicate and enforce corporate travel policies
  • Support users in the daily business with the travel management software

 

Candidate’s Requirements

 

  • An exciting opportunity for a young talent to develop her/his skills in the pharmaceutical industry in the area of indirect procurement.
  • Apprenticeship Lab-Technician, KV or similar, Bachelor’s degree in Chemistry, Biology or Supply Management or related discipline
  • Minimum of 3 years of experience in indirect procurement or in a laboratory function in a pharmaceutical company
  • Experience with e-procurement and reporting tools
  • Process and solution oriented with a strong customer focus
  • Good analytical skills, able to understand problems and present solutions toward suppliers and internal customers
  • Good communication and listening skills, team player and change oriented
  • Good verbal and written skills in English and German
