Following the recent creation of a commercial DACH structure, we are now looking for an experienced, proactive, and team-oriented Office Manager (m/f/d) to support the General Manager DACH as well as our evolving team of the commercial affiliates in Germany, Switzerland and Austria. The position will be located in our office in Munich.
The successful candidate needs to demonstrate great flexibility in dealing with a wide range of activities and is comfortable working in a fast-paced environment autonomously with minimal guidance.
Main responsibilities include:
- General administrative support to General Manager and the DACH leadership team
- Coordination and organization of administrative activities and projects, such as the organization of internal and external meetings including business events, travel and expense management
- Interact with peers at the Headquarters in Switzerland and other affiliates when necessary, and proactively coordinate administrative requests, meetings and processes
- Support the growth of the affiliates from an office management perspective, e.g. facility management, expense reporting, archiving, etc.
- Support in procurement activities, including vendor management
- Coordinate new hire entries and prepare and support hiring managers with onboarding of new employees
- Participate in relevant meetings, take minutes, and drive administrative actions
- Independently and pro-actively approach administrative tasks and regularly provide status updates to key stakeholders
- Maintaining the office infrastructure using corporate support functions like IT and Facility Management
- As needed/requested, working on specific projects
- Responsible person for archive e.g. control, document access to the archive cabinet and responsibility of the keys
- Ensuring that all activities are in line with regulatory, compliance and legal requirements
Requirements:
- Commercial education or similar
- Minimum of 5 years experience in an Assistant or Office Manager role in a multinational company (ideally within the Pharmaceutical /Biotech Industry)
- Efficient and effective verbal and written communication skills in English and German
- Advanced computer skills including experience with MS Office tools
- Ability to prioritize, dealing with changing priorities and workload
- Ability to work independently with high customer orientation and a pro-active approach to deliver high-quality results
- Strong internal and external stakeholder management skills
- Pragmatic attitude and ability to learn quickly
- Inclusiveness and effective teamwork and collaboration skills
