Administrative Coordinator - Human Resources

This position will have a hybrid working arrangement in that a % of time will be spent onsite at our Radnor, PA US headquarters.  Candidates must be able to commute and willing to spend time in the office.  The % is work dependent and will differ week to week based on need.

 

The Administrative Coordinator will report into the VP, Human Resources (US) and will provide overall administrative support to Idorsia US Human Resources, Compliance and Legal departments.  Duties and responsibilities include:

 

Overarching

 

  • Maintaining calendars, coordinating travel, scheduling meeting rooms, and ordering refreshments as needed
  • Assisting with completion of expense reports
  • Preparing meeting materials and developing PowerPoint slide decks
  • Liaising with Accounts Payable and vendors in new vendor setup process, including submission of required documentation such as W-9, vendor contracts and ACH Vendor Payment Authorization Forms
  • Obtaining internal and external signatures for vendor contracts
  • Coordinating corporate events and activities
  • Assisting with gathering data for and preparing reports
  • Performing other duties as assigned

 

Human Resources

 

  • Assisting with recruitment processes, for example, scheduling interviews, checking references, inputting background check requests, and various other related duties
  • Assisting with the orientation of new employees to Idorsia, including coordinating first day agenda with hiring manager, collecting onboarding benefits and payroll information, interfacing with payroll, and updating HRIS
  • Inputting new hire benefit enrollment and regularly updating vendors with any eligibility changes
  • Maintaining HR files, both electronic and paper
  • Addressing employee HR-related requests and questions, escalating as appropriate

 

Compliance

 

  • Assist with administration of Veeva Vault Quality Management System

 

Legal

 

  • Assist with administration of Veeva CORT Legal Contract Management System
  • Liaise with paralegal/legal consultant and staff for contract management
  • Assist legal with quarterly reporting requirements to HQ

 

Qualifications:

 

  • Minimum High School Diploma/GED
  • 5 or more years of experience, with at least some of those years having supported the Human Resources function, and all having worked in a professional corporate setting
  • Superior organizational and communication skills
  • Able to act with urgency; work must have detail and accuracy
  • Demonstrated customer service skills
  • Commitment to maintaining strict confidentiality
  • Able to work independently and as part of a team
  • Able to remain calm under pressure
  • Strong computer skills and hands-on experience with MS Office suite (Outlook, Word, Excel & PowerPoint critical) and MS Teams
  • Prior experience working with Human Resources Information systems (HRIS)
  • Familiarity with Travel and Expense programs such as Concur
  • General familiarity with contract administration

 

Preferred Education and Experience:

 

  • Bachelor’s degree
  • Good knowledge of federal, state, and local labor laws
  • Familiarity with ATS and resume databases
  • Prior pharma industry experience
  • Familiarity with Veeva Vault Quality Management System
